We take privacy seriously and have taken many steps to help safeguard the information we collect and manage for you. This privacy policy (“Privacy Policy”) is provided to inform you of our policies and practices and of the choices you can make about the way your information is collected and how that information is used and only applies to our app located at https://app.gruupmeet.com and not to our website which has a separate privacy policy located at https://www.gruupmeet.com.

The Organization Collecting Information at This Website

The mission of GruupMeet is to provide a web-based platform that helps organizations effectively and efficiently manage on-site logistics and meeting planning operations across multiple networks from one integrated dashboard. Designed from industry experience and built from the ground up, GruupMeet streamlines communications and logistical planning processes and offers intuitive dashboards for tracking and collaboration.


Our products and services include GruupMeet. We operate and own the websites (the “Sites”) located at https://app.gruupmeet.com and any white-label and/or private domain name(s) purchased by GruupMeet and/or associated with https://app.gruupmeet.com.


EU-U.S., UK-U.S., and Swiss-U.S. Data Privacy Frameworks

GruupMeet, Inc. complies with the EU-U.S. Data Privacy Framework, the UK Extension to the EU-U.S. Data Privacy Framework, and the Swiss-U.S. Data Privacy Framework (collectively, the "DPF") as set forth by the U.S. Department of Commerce regarding the collection, use, and retention of personal information, that does not qualify as “HR data,” transferred from the European Union, the European Economic Area, the United Kingdom (and Gibraltar) and/or Switzerland to the United States in reliance on the Data Privacy Framework (“DPF”). GruupMeet, Inc. has certified to the Department of Commerce that it adheres to the DPF Principles with respect to such personal information. If there is any conflict between the terms in this Privacy Policy and the DPF Principles, the DPF Principles shall govern. Data Integrity and Purpose Limitation

We only collect Personal Data (non-HR data) that is relevant to providing our Services. We process Personal Data (non HR data) compatible with GruupMeet providing the Services or as otherwise notified to you. We take reasonable steps to ensure that the Personal Data (non-HR data) received under the Data Privacy Framework is needed for GruupMeet’s Services, accurate, complete, and current.


Accountability for Onward Transfers

GruupMeet may disclose Personal Data (non-HR data) to trusted third parties as indicated in the Privacy Policy without offering an opportunity to opt-out. GruupMeet requires that its agents and service providers that have access to Personal Data (non-HR data) within the scope of this Data Privacy Framework Policy provide the same level of protection as required by the Data Privacy Framework Principles. GruupMeet shall remain liable under the Principles if its agent processes such personal information in a manner inconsistent with the Principles, unless the organization proves that it is not responsible for the event giving rise to the damage.


We may also need to disclose Personal Data (non-HR data) in response to lawful requests by public authorities, for law enforcement or national security reasons, or when such action is necessary to comply with a judicial proceeding or court order, or when otherwise required by law. We do not offer an opportunity to opt-out from this category of disclosure.


Review and Correction of your Information; Opt-out

You may access, correct, or request deletion of the Personal Information we collect about you at any time by contacting us at privacy@gruupmeet.com, Attn: Russell Wyman, CEO. We will respond to your request within a reasonable timeframe.


European Union Residents

If you are a European citizen, you have the right to request that we:

  • Provide you with information regarding whether we process your data, including any details related to such processing;
  • Correct any inaccurate data we may have about you without undue delay;
  • Complete any incomplete information that we may have about you;
  • Under certain circumstances, erase your Personal Information without undue delay;
  • Under certain circumstances, be restricted from processing your data;
  • Under certain circumstances, furnish you with the personal data (non-HR data) which you provide us within a structured commonly used, and machine-readable format.


Where we process your information solely based on your consent, European citizens have the right to withdraw consent to our processing at any time. This will not affect the lawfulness of our processing before the withdrawal. European citizens also have the right to lodge a complaint with their data protection supervisory authority at any time.


California & Other U.S. State Residents

Under some U.S. state laws, including California, Colorado, Florida, Iowa, Indiana, Kentucky, Montana, Rhode Island, Tennessee, Texas, Utah, and Virginia, residents have the right to ask us one (1) time each year about whether or not we have your Personal Information, the categories of Personal Information we may have about you, what Personal Information we may have about you, and whether or not you would like the Personal Information deleted.


If your information has been shared with a third-party, as described elsewhere in this Privacy Policy, then that third-party has received its own copy of your data. If you have been contacted by one of these third parties and wish to correct or delete your information, please contact them directly.


The exercise of any of the above rights may be subject to certain conditions and we may require further information before we can respond to your request.

PLEASE NOTE THAT IF YOU OPT-OUT OF RECEIVING MARKETING-RELATED EMAILS FROM GRUUPMEET, WE MAY STILL SEND YOU IMPORTANT ADMINISTRATIVE AND TRANSACTIONAL MESSAGES.


Recourse, Enforcement and Dispute Resolution

If you have any questions or concerns, please write to us at the address listed below. We will investigate and attempt to resolve complaints and disputes regarding use and disclosure of Personal Data (non-HR data) in accordance with the Data Privacy Framework Principles.


In the event we are unable to resolve your concern, you may contact JAMS, which provides an independent third-party dispute resolution body based in the United States, and they will investigate and assist you free of charge. A binding arbitration option may also be available to you in order to address residual complaints not resolved by any other means. GruupMeet is subject to the investigatory and enforcement powers of the U.S. Federal Trade Commission (“FTC”).


Service Usage Information

We obtain personal information from Clients who retain our services to communicate with their customers (or employees). We may also obtain information from service providers, business partners, and other third parties (such as registration companies) on behalf of our Clients. The types of personal information we collect includes your contact information (name, email, phone number), business contact information (employer’s name, job title, business email and phone number), travel information (flight itineraries, record locator, travel preferences), username and passwords for accounts you may establish on our site, payment information, other details that you may submit to us or that may be included in the information provided to us by third parties.


Some of the information provided may be deemed “sensitive” in the country in which you are located. GruupMeet does not require sensitive personal information as a condition of obtaining our product or service and any such information uploaded by you must be removed and reported to us immediately.


GruupMeet provides a service to our Clients that enables them to track flights and facilitate communication. Your information will be used to register you on our site and manage and maintain your account. Our Client is responsible for all the content of the communications sent to their customers. GruupMeet will facilitate communication through email or 2-way texting based on the information provided to us. You may receive communication regarding transportation to/from the airport, schedule changes, meeting reminders, or any other information our Client deems relevant and pertaining to the event which you are a part of. Information obtained by GruupMeet under the direction of its Clients is the property of the Client.


Registration Information

Registration for the Service may not be required to simply view a Site. If you elect to register for a Service, GruupMeet asks you for information that enables us to provide the Service. You will be registering with GruupMeet on the form provided and such registration may require you to provide contact information such as your name, username, password, phone number, and email address.


The Information We Collect and Use

We refer to the above products and services, as well as any of our other current or future products and services, collectively as the “Service.” Any information provided to us through the Service will be retained and used solely for the purposes of fulfilling your request for information, fulfilling a request through a Site or Service feature, performing and carrying out the Terms of the Service, performing or improving our Service, developing a new Service or communicating with you as a user of GruupMeet’s services.


Aggregate Information

From time to time, we may collect general, non-identifiable personal, statistical information about the use of the Sites and the Service, such as how many visitors visit a specific page on the Sites, how long they stay on that page, and which hyperlinks, if any, they “click” on. We collect this information using technologies such as “cookies” and “IP addresses,” which are discussed in greater detail below. We may also group this information into aggregate visitor data to describe the use of the Sites and Service to our existing or potential business partners or other third parties (such as Google Analytics and Flurry Analytics), or in response to a government request. However, please be assured that this aggregate data will not be used by us in no way to personally identify you, other list members or any other visitors to the Sites.


We may store your personal information along with your files and data on a third-party server such as Amazon Web Services (AWS) and/or DigitalOcean, or we may use a third-party analytics tool to learn how you are using our Sites.


In cases where you use a mobile device to access our Sites, we will receive information about the location of your device. In some cases, even if you are not using a mobile device, information about your general location may be discernible from your device’s IP address or the URLs we receive.


Cookies and Other Tracking Technologies

Technologies such as cookies, beacons, tags, and scripts are used by GruupMeet and our marketing partners, affiliates, or analytics or service providers. These technologies are used in analyzing trends, administering the site, tracking users’ movements around the site, and to gather demographic information about our user base. We may receive reports based on the use of these technologies by these companies on an individual as well as aggregated basis. We use cookies to remember users’ settings (e.g., language preference), tracking for marketing purposes, and for authentication. Users can control the use of cookies at the individual browser level. If you reject cookies, you may still use our site, but your ability to use some features or areas of our site may be limited.


Log Files

As is true of most websites, we gather certain information automatically and store it in log files. This information may include internet protocol (IP) addresses, browser type, internet service provider (ISP), referring/exit pages, operating system, date/time stamp, and/or clickstream data. We do not link this automatically-collected data to other information we collect about you.


GPS/Location Services

With our GruupMeet application, we may use GPS technology (or other similar technology) to determine your current location to display a location map to assist in providing transportation. At any time, you can disable location services on your personal device (generally in your devices “account settings”), and we will no longer have access to your location information. Please see your device or OS manual for ways to disable location services.


Mobile Analytics

We use mobile analytics software to allow us to better understand the functionality of our mobile software on your phone. This software may record information such as how often you use the application, the events that occur within the application, aggregated usage, performance data, and where the application was downloaded from. We do not link this information we store within the analytics software to any personal information you submit within the mobile application.


Profile

We do not share your personally identifiable profile with unapproved third parties. We undertake to ensure that your personal information is kept strictly confidential and is not disclosed to third parties without your permission. Details will be used only by our staff and/or approved third-party agents to support the necessary terms and conditions for the use of services such as service providers under contract who help with our business operations and technology services. Our contracts dictate that these service providers only use your information in connection with the services they perform for us and not for their own benefit.


Retention of Personal Information

We will retain your personal information for the period necessary to fulfill the purposes outlined in this Privacy Policy unless a longer retention period applicable by law. We will retain customer personal information (name, email, phone) associated with a Client’s account if that account is active. If a Client account is deactivated, we may retain certain information for an additional period of up to six (6) months. We will make good faith efforts to delete the data if you contact us by following the instructions at the beginning and at the end of this Privacy Policy, provided GruupMeet is not required to retain it by law or for legitimate business purposes. We may decline to process requests that are unreasonably repetitive, require disproportionate technical effort, jeopardize the privacy of others, are extremely impractical, or for which access is not otherwise required by local law. We will retain your information for as long as your account is active or as needed to provide you services. Information Sharing and Disclosure

Except for the limited situations listed here in this Privacy Policy, we will not share your personal information with third parties. We will not share your information with third parties for a purpose that is materially different from original purposes without your consent. To the extent we are legally permitted to do so, we will take reasonable steps to notify you if we are required to provide your personal information to third parties as part of the legal process unless prohibited by court order or law enforcement request. GruupMeet discloses information only to those of its employees, contractors, and affiliated organizations that (i) need to know that information to process it on GruupMeet’s behalf or to provide services available at GruupMeet’s website, and (ii) that have agreed not to disclose it to others. Some of those employees, contractors, and affiliated organizations may be located outside of your home country; by using GruupMeet’s app, by using or continuing to use the service you consent to the transfer of such information to them.


Agents and Third-party Service Providers

To provide the Service to you, we may sometimes use other approved third-party businesses or affiliates to perform certain specialized services such as data processing or other technology services. We may receive information about you from other sources like telephone or fax, from friends who refer you to us, or otherwise. We may add this information to the information we have already collected from you via our app to improve the services we provide. Your information collected through the GruupMeet Service may be stored and processed in the United States or any other country in which GruupMeet, approved third-party businesses, its affiliates, or service providers maintain facilities. GruupMeet may transfer information that we collect about you, including Personal Data (non-HR data), to affiliated entities, to a mapping service provider to provide a map of your location, or to other third parties across borders and from your country or jurisdiction to other countries or jurisdictions around the world. They are not permitted to retain or use your information for any other purposes other than what is defined as the service in our Terms of Use and this privacy policy.


Change of Control / Asset Transfer

As the Company develops, we may buy other businesses or their assets or sell all or parts of our business assets. Customer information is generally one of the business assets involved in such transactions. Thus, if the assets of the Company in whole or in parts are acquired by a third-party, customer information, including any visitor information collected through the Site or the Service, would be one of the transferred assets. In the event of a corporate change in control or sale of all or parts of our business assets, our users will be notified in accordance with the “Changes to this Policy” section of the policy if their personal information is provided to the new corporate entity or asset purchaser. Legal Compliance

As we stated, GruupMeet values our relationships with our Users and are committed to respecting and protecting your Usage Information. GruupMeet can, however, disclose Users’ Usage Information for legal or regulatory reasons, including in response to subpoenas and court orders. GruupMeet can also use Usage Information to investigate fraud and to prevent violation of our Terms of Service and unlawful use of our network, services, and other Users. GruupMeet also reserves the right to disclose member information in special cases when we have reason to believe that disclosing this information is necessary to identify, contact, or bring legal action against someone who may be causing injury to or interference with (either intentionally or unintentionally) GruupMeet’s rights or property, other visitors, list members, or anyone else that could be harmed by such activities. GruupMeet also reserves the right to disclose visitor or list member information when we believe in good faith that the law requires it.


When we receive formal written complaints, we will contact the person who made the complaint to follow up within 45 days of the day we receive the complaint. We work with the appropriate regulatory authorities, including local data protection authorities, to resolve any complaints regarding the transfer of personal data (non-HR data) that we cannot resolve with our users directly. We commit to binding arbitration; if you request it, to address any complaint that has not been resolved by other recourse and enforcement mechanisms. We are subject to the investigatory and enforcement powers of the FTC, or any other U.S. authorized statutory body.


Communications from the Site

Service Email

We will send you service-related announcements, which are not promotional in nature, on occasions when it is necessary to do so. For example, if our service is suspended for maintenance, we may send you an email notification. You do not have an option to opt-out of these emails.


Customer Service

Based upon the information you provide us, we will communicate with you in response to your inquiries, to provide the services you request, and to manage your account. We may communicate with you by email or telephone.


Newsletters and Promotions

We may provide you with the opportunity to opt-in to additional newsletters or promotional communications sent by email. If you have opted in or otherwise qualify to receive these forms of communication, we will use your name and email address to communicate with you. Out of respect for your privacy, we provide you with a way to unsubscribe by following the instructions included in each communication. If your employer or another GruupMeet Client provides your personal information to us, as their customer, you will not receive any marketing correspondence from GruupMeet.


Notifications

One of the key features of the GruupMeet application is the ability for our Clients to communicate with their customers by sending a relevant email and/or 2-way texting notification pertaining to the event in which the customer is a participant. As a Client, you are responsible for the content of any communication that goes out via email or 2-way texting. As a customer of our Client, you may at any time opt-out from receiving 2-way texting notifications by replying “STOP” or following any opt-out instructions sent along with such notifications. If you would like to stop receiving email notifications, please contact the relevant Client directly to learn about your choices.


Security and Information Protection

The security of your information is important to us. When you enter sensitive information (such as a credit card number) on our payment forms or login credentials on our login form, we encrypt that information using Secure Socket Layer (SSL) technology. We may require you to enter a password to access your account information. Please do not disclose your account password to unauthorized people.


We follow generally accepted industry standards to protect the information submitted to us, both during transmission and once we receive it. No method of transmission over the Internet, or method of electronic storage, is 100% secure, however. Therefore, while we strive to use commercially acceptable means to protect your personal information, we cannot guarantee its absolute security. Firewalls

Protecting the security of your personal information is very important to us. When we store information that you have provided to us when registering for the Service, that information is protected by security measures that include “firewalls” (a combination of computer hardware and software that helps keep unauthorized visitors from accessing information within our computer network), “intrusion detection systems” (a combination of computer hardware and software that helps detect any unauthorized visitors) and other tools such as data encryption and physical security, where appropriate. Unfortunately, no data transmission over the Internet or data repository can be guaranteed to be 100% secure. As a result, while GruupMeet strives to protect your personal information and privacy, we cannot guarantee or warrant the security of any information you disclose or transmit to us online and cannot be responsible for the theft, destruction, or inadvertent disclosure of your personal information.


Correcting, Updating, or Removing Your Personal Information

GruupMeet will make commercially reasonable efforts to provide you reasonable access to any of your personal information we maintain within 30 days of your access request. We provide this access, so you can review it, make corrections, or request deletion of your data. If we cannot honor your request within the 30-day period, we will tell you when we provide access. In the unlikely event that we cannot provide you with access to this information, we will explain why we cannot do so. Community Standards, or Removal of Content or Data

GruupMeet has search mechanisms and content filtering processes in place to help identify content or data that may indicate violence or disruptive behavior/communication. Events, Accounts, Participants, Booking/Registration Sites, and accounts associated with specific terminology and symbolism used by groups and movements indicating violence will be removed when identified and/or determined by GruupMeet at its sole discretion.


California & Other U.S. State Privacy Rights

Under some U.S. state laws, including the California Consumer Privacy Act of 2018 (as amended by the California Consumer Privacy Rights Act) (CCPA), residents are entitled to ask us for a notice identifying the categories of personal information which we share with approved third-party businesses or affiliates or services providers for marketing purposes and providing contact information for such affiliates and/or third parties. If you are a California resident or other applicable U.S. State resident and would like a copy of this notice, please submit a written request to: privacy@gruupmeet.com, Attn: Russell Wyman, CEO. GruupMeet will make commercially reasonable efforts to provide you reasonable access to any of your personal information we maintain within 30 days of your access request. California’s Shine the Light Law

California Civil Code Section 1798.83, also known as “Shine The Light” law, permits California residents to annually request information regarding the disclosure of your Personal Information (if any) to third parties for the third parties’ direct marketing purposes in the preceding calendar year. We do not share Personal Information with third parties for the third parties’ direct marketing purposes.


Links to Other Sites

Please be aware that when you are on the Site, or when you receive an email message from us through the Service, you could be directed to other sites that are beyond our control. There may be links to other sites from the Site’s pages or from the email message we send to you that take you outside our Site. These other sites may send their own cookies to visitors, collect data, or solicit personal information. The privacy policies of these other sites may be significantly different from this Privacy Policy. We are not responsible for the privacy practices of these other sites and cannot guarantee the security of any of your personal information collected there. Note that when you link to a third-party site from the Site, you may see pre-populated data fields with your personal information; however, that information is not available to the third-party unless you take certain actions on the third-party’s site, such as submitting a form.

We display personal testimonials of satisfied customers on our website in addition to other endorsements. With your consent, we may post your testimonial along with your name. Information Related to Data Collected through the GruupMeet Service

Information Related to Data Collected for our Clients

GruupMeet, Inc. collects information under the direction of its Clients and has no direct relationship with the individuals whose personal data (non-HR data) it processes. If you are a customer of one of our Clients and would no longer like to be contacted by one of our Clients that use our service, please contact the Client that you interact with directly. We may transfer personal information to companies that help us provide our service. Transfers to subsequent third parties are covered by the service agreements with our Clients.


Access and Retention of Data Controlled by our Clients

GruupMeet, Inc. has no direct relationship with the individuals whose personal data (non-HR data) it processes. An individual who seeks access, or who seeks to correct, amend, or delete inaccurate data should direct his query to the GruupMeet, Inc.’s Client (the data controller). If requested to remove data, we will respond within 30 days. We will retain personal data (non-HR data) we process on behalf of our Clients for as long as needed to provide services to our Client. GruupMeet, Inc. will retain this personal information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.


Privacy Policy for Children

We do not knowingly collect information from children under the age of 13 on the Site or through the Service. If you are under the age of 13, please do not provide any information to us. If we become aware that we have collected information from a child under the age of 13, we will make commercially reasonable efforts to delete such information from our database.


Changes to This Policy

The terms of this Privacy Policy may change from time to time. We will notify you of any material changes to this Privacy Policy by posting a notice on the homepage of the Site for a reasonable period prior to the change becoming effective. We encourage you to check this page periodically for any changes. Your continued use of the Site and participation in following the posting of changes to these terms will mean you accept those changes.

Customers may file a complaint with GruupMeet regarding the Company’s handling of their Personal Information.
